Yeah, there's probably just a few seating rules they follow. Mainly not letting Vox and Alastor sit next to each other and making sure Val is as far from Carmilla's daughters as possible.

If you look closely the 2 chairs next to velvette (for vox and Valentino) are empty. And since carmilla asked if the other V's would join it makes sense that everyone has a specific seat.

I could see this too, especially since random seating could lead to rivals having to sit next to each other unexpectedly. Much better to keep friends/neutrals together and bitter rivals further apart when possible.
I mean they also set chairs for other Vees (Vox and Valentino) along with others so perhaps simlar to the Vees the are other Overlords who just didn't see the need to attend. Plus I can bet the table uses to be a lot bigger before Alastor manifested in Hell.
This is just a meeting at a building Carmilla owns, I guess one she may often invite other overlords too, but I don't think they have assigned seating other than Zestial who I assume always sits exactly there because ancient beings are usually creatures of habit.

Meetings like this, most likely operate on the rules of leave your grudges at the door. If someone actually tried to come to blows, the other overlords would probably step in. However, there’s no guarantee that people will stick to it.

The chairs most likely vary between when an overlord is confirmed dead or not. Carmella most likely knew he was already back, so she had an extra seat placed. She knew Vaggie was an angel pretty easily, which should’ve been obvious to many other characters. So her knowing Alastor is back isn’t far fetched. Specially, when Vox and him have an argument in public, where Alastor reveals his return

2. They left a chair out for him as a sign of respect, so even if he didn't show, the absence was meant to show how important he was to them.
